Privacy Policy
Version: EA-1.7 (early access). Last updated: October 4, 2026. Owner-approved early-access working policy. Changes in EA-1.7: Section 6 now describes anonymous public previews of recent Circle posts and says we do not use Members’ posts in promotional materials. EA-1.6 first revised Section 6, and EA-1.5 added the new Section 8A on the Verified Poéma Professional wait-list and invitations, and license renewal updates. EA-1.4 updated Section 10A (Lantern); EA-1.3 invited specific health topics; EA-1.2 added Section 10A.
1. Who We Are
Poéma Health is operated by My Why Enterprises, LLC, an Oklahoma limited liability company (“Poéma,” “we,” “us,” or “our”), doing business as Poéma Health. You can reach us at founder@poemahealth.com.
This Privacy Policy explains what information we collect when you use poemahealth.com, Poéma Circle and the Learning Library (the “Service”), why we collect it, and the choices you have.
2. Who Can Use Poéma
The Service is offered to adults who are at least 18 years old and are located in the United States. We do not knowingly collect information from anyone under 18. Poéma is operated from the United States, and information we collect is stored and processed in the United States.
3. Account and Profile Information
When you register, we collect the information needed to create and secure your account, including your email address, a username, a display name and a password (passwords are stored in hashed form, so we cannot read them). You may add a profile photo if you choose.
Your display name is the name other Members see. You may use your real name or a name you choose. Display names may not include credentials, professional titles or reserved words; Verified Poéma Professionals show their verified credentials as badges instead. Your email address, password and any legal name you give us are account information and are never displayed to other Members.
4. Email Verification, Onboarding and Your Agreements
When you join, we send a one-time link to confirm your email address. Before you can use Member features, you complete a short onboarding and separately confirm that you are at least 18, that you are located in the United States, that you agree to the Terms of Use and acknowledge this Privacy Policy, and that you agree to the Community Standards.
We keep a record of those confirmations: your account, the date and time, and the version of each policy you accepted. We also record your answer to the optional question about public previews (see section 6). We do not store your IP address as part of this record.
5. Poéma Circle Activity
Poéma Circle uses BuddyPress. When you take part, we store your posts, replies, likes and saves, follows, private messages, notifications and related activity records.
Poéma Circle is a members-only space. Circle conversations are visible only to signed-in Members who have completed onboarding, and Circle pages are marked so that search engines do not index them. The member directory and other Members’ profile pages are not publicly available. Private messages between Members are not displayed to anyone else, but they are stored in our database and are technically accessible to administrators.
6. Public Previews of Circle Posts
To show visitors what Poéma Circle is like, our public pages may show a short preview of a limited number of recent Circle posts. A preview shows only the first 15 words of a post. It is labeled only as coming from a “Member” or a “Poéma Professional.” It never shows a name, display name, photo, profile link or any other information about the person who wrote it, and it never includes replies. Because the first words of a post can be seen by anyone, please keep identifying details out of your posts.
Previews come straight from current posts. If you delete a post, or Poéma archives it, it stops appearing in the preview. We do not use Members’ posts, replies or profiles in promotional materials such as advertising, social media or email campaigns.
7. Health-Related Information You Choose to Share
Poéma does not require you to provide any health information. If you choose to describe your own health experience in a post, reply, message or profile, that information is stored as part of your content and is visible to the audience for that area of the Service.
Please share thoughtfully. Do not post information you would not want visible to that audience, and do not post another person’s health information without their permission.
8. Verified Poéma Professional Applications
If you apply for Verified Poéma Professional status, we collect the information you submit in the application, which includes your legal name, professional title, specialty, years in practice, a résumé or CV, a headshot image and supporting evidence of your qualifications. We also collect any disclosures you make about restrictions, suspensions or disciplinary actions, and, if you choose to tell us, information showing that you own or co-own a practice or business.
We use this information to verify your identity and the qualifications, experience, roles, publications or professional records you present; to confirm ownership of any practice you ask to name; and to decide whether to grant and maintain verified status. Application materials, including your CV and supporting documents, are kept in private storage and are seen only by Poéma administrators. Your license number, CV, email address and application documents are never displayed publicly. The display name, verified credential badges, bio and other details you choose to present on your Professional profile are visible to others.
8A. Professional Wait-list, Invitations and License Updates
While Poéma opens to Verified Poéma Professionals in small founding groups, people who are interested can join a wait-list. If you join it, we collect your name, email address, profession or title, the state(s) where you are licensed or credentialed, a general description of your area of practice, and, if you choose to share them, what you would like to teach and how you heard about Poéma. We also keep your consent, the date you joined, and the status of any invitation we send you.
We use this information only to manage the wait-list: to confirm that you joined, to send you a personal invitation to apply when a spot opens, to remind you before an invitation closes, and to follow your invitation through to an application. Wait-list information is visible only to Poéma administrators. It is stored on our website and in a private, access-restricted copy in Poéma’s Google Drive, and it is never shown publicly or sold.
If you are a Verified Poéma Professional, we record the expiration date of the license we verified and any updated license information you send us, so we can remind you before it expires, pause verification if it lapses, and resume it when we confirm your renewal.
To be removed from the wait-list at any time, reply to any wait-list email or write to founder@poemahealth.com.
9. Payments and Subscriptions
The Service uses WooCommerce for payments, including Poéma Membership subscriptions (monthly or yearly plans that renew automatically until cancelled), the Verified Poéma Professional annual fee, and other purchases on the Service. When you pay, we store order and subscription records, such as the item, amount, date, status, renewal date and the billing details you enter.
We do not receive or store your full card number. Card and payment-account details are handled directly by our payment processors, which currently include Stripe and PayPal. Their own privacy terms apply to the information they collect from you.
10. Learning Activity
The Service includes Tutor LMS for the Learning Library. If you use courses or quizzes, we store your enrollment, progress, quiz attempts and answers, and any related order records.
10A. Poéma Guide: Lantern and Your Questions
Poéma Guide: Lantern is a search tool for subscribers and founding members. You type a question, and Lantern looks through the Learning Library and the Circle for lessons and conversations that might help. Lantern does not use artificial intelligence at this time. If that changes, we will update this policy.
What happens to your search. We use the words of your question to run the search and show you the results. We do not save the text of your searches or attach them to your account. To prevent misuse, our systems keep a simple count of how many searches an account has made in the past hour, and that count expires.
Asking the Circle. If you choose “Ask the Circle,” your question is carried to the Circle’s post form so you can read it over and change it. It is not sent to us until you choose to post it. If you post it, it becomes a Circle post like any other and follows the Circle rules and Section 5 of this policy.
Questions you send us anonymously. In two places, the pop-out Guide button and the “Tell us what’s missing” button that appears when a search finds nothing, you can tell us what you wish you could find on Poéma. We save only the text of the question and the date and time we received it. We do not save your name, email address, account, IP address or device information with it, and it is not linked to any account. You are welcome to describe a health topic in as much specific detail as you like. Please leave out names and anything else that could identify you or anyone you mention, such as contact details, addresses, dates of birth, or where someone works or receives care. The box rejects text that looks like an email address, phone number or web link.
Spam protection. To limit repeated or automated submissions, our systems briefly keep a scrambled code derived from your internet connection. It expires after about an hour, is not attached to your question, and is not used to identify you. Our hosting provider’s and security tools’ ordinary logs may record technical data such as IP addresses, as described in Section 11.
How we use anonymous questions. We read them to understand what people want to learn and to decide what to build next. In the future we may share summaries of the topics people ask about with Verified Poéma Professionals. Any summary will be grouped with other questions and will not show who asked.
Limits. We do not reply to individual questions. Because anonymous questions are not linked to you, we cannot find or remove a particular person’s question afterward. We have not set a fixed deletion date for them yet and will state one in Section 17 when we do. We can’t give medical advice through Lantern or these boxes, and they aren’t monitored, so they aren’t for emergencies. In an emergency, contact your local emergency number or your own healthcare professional.
11. Cookies and Technical Data
We and our service providers use cookies and similar technologies. These include cookies that are necessary to keep you logged in, keep checkout working and protect the Service, and cookies used for analytics.
Our servers and service providers also automatically receive technical data such as your IP address, browser type, device information, referring page and the times you access the Service.
We currently use Google Analytics 4 (via Google Site Kit) and Jetpack Stats to understand how the Service is used. Jetpack also provides spam filtering, login protection and WooCommerce analytics. A cookie-consent plugin is installed but is not yet configured, so a consent banner may not currently be displayed. We are addressing this.
12. Security, Moderation and Administrative Records
We keep security and operational logs, including an activity log of significant actions taken on the site and a log of emails the Service has sent. When content is unpublished under our standards, we keep a record of what was unpublished, which standards it did not meet, and any notes the author provides when reposting. These records help us investigate problems, detect abuse, keep accounts secure and apply our standards consistently. Administrators can see these records.
13. Email From Poéma
We send account and transactional email, for example: email-verification links, password resets, notifications you have enabled, order receipts, reminders before a free period ends or a subscription renews, notices about content that was unpublished, and messages about a Verified Poéma Professional application.
Registered Members also receive occasional updates about Poéma, such as new features and community news. If you would rather not receive these updates, email founder@poemahealth.com and we will stop them; account and transactional emails continue while you have an account. Email delivery is handled by our email service providers.
14. How We Use Information
We use the information described above to operate and secure the Service; create and manage accounts; display community content to the intended audience; verify professional qualifications; process payments and subscriptions; provide learning features; respond to questions, concerns and reports; apply and enforce our Terms of Use, Community Standards and Verified Poéma Professional Standards; send the emails described above; understand how the Service is used so we can improve it; and comply with legal obligations.
15. What Others Can See
- Signed-in Members who have completed onboarding can see your display name, profile photo and Circle contributions.
- The public cannot see Circle conversations, the member directory or Member profiles. They may see public previews only as described in section 6.
- Verified Poéma Professionals have a profile that shows their display name, verified credential badges and the bio, focus areas and offerings they choose to present. Some of this may be public.
- Never shown to other Members or the public: your email address, password, legal name (unless you chose it as your display name), license numbers, CVs and application documents.
16. Sharing With Service Providers and Others
We share information with the vendors that make the Service work, and only as needed for them to perform their role. These currently include our website host, our payment processors, our email delivery providers, our analytics and security providers, and the plugin vendors whose services are described above.
We may also disclose information if we are required to by law, to respond to lawful requests, to enforce our Terms of Use, or to protect the rights, safety or property of Poéma, our Members or others. If Poéma is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction.
We do not sell your personal information for money. We have not completed a legal analysis of whether our use of third-party analytics and advertising-related technologies constitutes a “sale” or “sharing” of personal information as those terms are specifically defined under some state privacy laws, so we are not making a broader claim than we can currently support. We will update this section when that review is complete.
17. Retention
We keep information for as long as your account is active and as long as needed for the purposes described in this policy, and then as needed to resolve disputes, keep records of transactions, and meet legal obligations. We have not yet set fixed retention periods for every category of data, and we will state specific periods here once they are established.
18. Your Choices and Controls
You can review and update your account and profile information from your account settings, adjust your notification settings, and edit or delete your own Circle content. WordPress’s built-in personal-data export and erasure tools are available on the site, and you may request an export or deletion of your personal information by emailing us at founder@poemahealth.com.
Some information may be retained after a deletion request where we are required or permitted to keep it, for example transaction records, security logs, acceptance records, or content that is necessary to resolve a dispute.
19. Security
We use reasonable administrative and technical measures to protect information, including encrypted connections (HTTPS), hashed passwords, access controls that limit administrative access, members-only access to the Circle, spam filtering and login protection. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
20. Poéma Is Not a HIPAA-Regulated Patient-Care Environment
Poéma is an education and community platform. It is not an electronic health record, a patient portal, a telehealth or clinical-messaging system, or a HIPAA-compliant environment, and it must not be used for patient records, clinical communication, or any HIPAA-regulated patient-care activity. Any care a Verified Poéma Professional provides takes place outside Poéma, under that Professional’s own practice and its own privacy practices. Ordinary use of the Service does not create a business-associate relationship, and no such relationship exists unless Poéma signs a separate written business associate agreement.
The fact that HIPAA does not apply does not mean no rules apply. Other privacy, security and breach-notification obligations may still apply to us and to information shared through the Service, including, potentially, the Federal Trade Commission’s Health Breach Notification Rule and state privacy, consumer-protection and breach-notification laws. We are reviewing which of these apply to Poéma and will update this policy as that review concludes.
21. Changes to This Policy
We may update this Privacy Policy as the Service develops. Each version carries a version identifier and date. If we make a material change, we will provide notice through the Service, for example in News & Updates or by email to registered Members, and, where appropriate, ask you to review and accept the updated policy. Minor editorial corrections do not require re-acceptance.
